A property manager is a person or firm charged with operating a real estate property for a fee. Their typical duties include dealing with tenants and implementing the owner’s policies. Property managers must adjust to the new challenges of an emerging post-quarantine society. As tenants and vendors return to work, there is a lot of confusion about what should be done to manage the risks. Jones’ customer development team stepped up to interview clients about the challenges they face in the era of COVID-19. We wanted to hear about the problems and uncover the pain points that emerged among our users. That’s why we set out to help our customers adapt to the crisis by providing them with new tools that address these issues. After many interviews, one thing was clear from all the participants — Communication. Property managers face the possibility that a person who enters the building could be carrying the highly contagious virus. They must communicate with tenants and vendors regarding regulations, instructions, provision of equipment such as face masks and gloves, elevator occupancy limits, temperature screenings, social distancing, and more. “How do we consistently communicate with everybody?”— (User 1) “The biggest thing is communicating to the vendors to perform services in a specific building.” — (User 2) Our product team decided to deliver a fast solution for our clients by enabling our users to communicate through the Jones platform. What is communication all about? Property managers need to assure tenants, vendors and their employees are working in a safe environment following all necessary guidelines. They need a new process for vendors re-entering properties, elevators, and loading docks that manages the spread of COVID-19. By communicating what are the constraints of the building, sending COVID-19 questions form to tenants and vendor companies, help enforce regulations of health and safety. Communication is the solution to confusion. Why use Jones? By using Jones, property managers and their security desks have visibility into vendors and tenants’ compliance status. This comes after a seamless automated process of Jones requesting their certificate, checking it against the building requirements, and providing a user-friendly report. They cannot allow vendors to enter the building without the right insurance coverage! Today, in addition to insurance compliance, property managers and their security desks should not allow vendors and tenants to enter the building without being assured there’s minimal threat of them spreading COVID-19. Jones offers a simple solution for sending vendors and tenants the building instructions, requesting they fill out a form, and providing real-time visibility to their status. Naturally, we implemented a solution to the communication issue using a similar flow to that which users are already familiar with: How does it work? Property managers can simply click on the “Manage Requirement” button where they already create and manage the requirements of the building, and create the COVID-19 form They can insert their own text and select among a ready-made library of screening questions. By just sending a COVID-19 form to read & sign (Via email), we were able to add an indication to the same compliance status the property manager and the security desk in the lobby are looking for. They can track who received the form and what their answers were in a process similar to compliance tracking! As we understand that COVID-19 guidelines can change by the day, our users can always change the form text, choose different questions, and re-send the form to their vendors/tenants. “There are a lot of moving pieces with state guidance and things are changing fast “ — (User) Communicate!
